How To: Viewing Approval Orders (02-08-05)

Overview

This tutorial describes how to view approval orders.

  1. If you want to view orders for a single warehouse, select that warehouse from the ‘Whse’ drop-down list. Select All to include all warehouses.

  1. In the ‘From’ and ‘To’ fields, select a date range for the listing. Leave these fields blank to include orders for all dates.

  1. In the ‘Only Show’ box:
    1. Check ‘Pending’ to include orders that do not have all fields set to Approved.
    2. Check ‘In Progress’ to include orders that do not have all fields set to Approved.
    3. Check ‘Approved’ to include orders that have all reason fields set to Approved.

  1. To only include orders with a specific reason (the entry in the ‘Reason Code 1,’ ‘Reason Code 2,’ ‘Reason Code 3’ columns) enter that reason code in the ‘Only Having Reason’ field.

  1. If you only want to include orders that contain a specific item number, enter that item number in the ‘Only Having Item’ field.

  1. Click Refresh.
    • Whenever the order criteria changes you need to click the Refresh button to update the results.

  1. Orders matching the criteria appear. Click on the Order Number to open it in Order Maintenance. Click any other column to open the Order Approval Details screen for the order.
    • Please see the Field Definitions section for descriptions of each of these columns.

  1. Click Export to download the information on the screen to your computer (optional). Accept the pre-prompted save location, or enter a new one. Then click Ok.
    • Check the ‘Export Comments’ box to include the comments from the Details screen in the export file.
    IMPORTANT: Since the exported file is tab delimited, save it with a ‘.txt’ extension.
