How To: Running the Prior Period Transactions Report (12-38)
Overview
This selection lists the transactions that fall between the G/L Month End Closing and the A/R Month End Closing. Specifically, those transactions that have not been processed through the ‘Open Acct Purge Proc’ (12-42) selection. This listing can be used to facilitate reconciliation at month end.
Step-by-Step
NOTE: The system automatically populates the current G/L Month and A/R Month fields and they cannot be edited.
- In the ‘From’ field, enter the transaction date to begin the inquiry with or select it from the calendar. Leave the field blank to begin the inquiry with the first date on file.
- Today’s date is automatically populated in the ‘To’ field. You can enter a new ending date or select it from the calendar.
- In the ‘Sort By’ drop down menu:
- Select ‘Account#/Trans Date’ to sort the report by the A/R Account # first and then the transaction date within the account.
- Select ‘Trans Date/Invoice #’ to sort the report by transaction date and then Invoice # for the transaction.
- Click ‘Refresh’ to load the results.
- Click the plus icon next to the account number to view transactions for that account. Click the ‘Expand’ button at the bottom of the screen to view transactions for all accounts at once.
- Click the ‘Print’ button to print a paper copy of the report (optional). At the prompt, enter the ID of a physical printer, or enter “PDF” to save the report to a PDF file.
NOTE: Check the ‘GUI Output’ box to print the report in GUI format. If this box is unchecked, the report will print in Non-GUI format and you will not be able to print to ‘PDF.’
- Click ‘Export’ to open the report directly in Excel (and save it to your computer).
Accept or modify the filename and click ‘Ok.’
IMPORTANT: You must have an ‘Accounts Receivables’ folder specified in Company PDF/Export Directory (30-04) or By Term PDF/Export Directory (30-05) in order for the report to open correctly in Excel and save successfully to your computer.
- Click ‘Export’ to open the report directly in Excel (and save it to your computer).
