How To: Running the Thank You Card Report (02-31)

Overview

This selection produces a report of customer orders that have been completely shipped (TW, DZ, SZ). It includes the salesperson number(s), sold at store, ticket number, ticket date, ticket total, and customer address, allowing you to easily follow up with the customer by phone, thank you card, or other correspondence.

The report can be filtered by region, branch, date, salesperson, and ticket total. Additionally, you can display the group code associated with each customer or exclude a group code from the report. Group codes are applied to customers in Customer Master Inquiry / Maint (20-01).

Step-by-Step

  1. From the ‘Region’ drop-down menu, select a region for the report. Select ‘All’ to include all regions.

  1. From the ‘Store’ drop-down menu, select a store for the report. Select ‘All’ to include all stores.

  1. In the ‘From’ and ‘To’ fields, enter a date range for the report or select it from the calendar.

  1. From the ‘SlsPer’ drop-down menu, select a salesperson for the report. Select ‘All’ to include all salespeople.

  1. In the ‘Exclude Group’ field, enter a customer group to exclude from the report (optional). You can only exclude one customer group at a time.
    NOTE: Customer groups are defined by your company and are applied to customers using the ‘Group’ field in Customer Master Inquiry/Maint (20-01).
    NOTE: If you enter a group in this field, customers in the group are excluded from the report regardless of whether the ‘Display Group’ box is checked.

  1. Check the ‘Display Group’ box to include the ‘Group’ column on the report. The group that the customer is assigned to (if any) in Customer Master Inquiry/Maint (20-01) displays in this column.

  1. In the ‘Include if ticket total greater than’ field, enter an amount and only transactions with a ticket total greater than or equal to the entered amount are included on the report.

  1. Click the ‘Refresh’ button.

  1. Transactions meeting the select criteria appear.

  1. Click the ‘Print’ button to print a paper copy of the report (optional). At the prompt, enter the ID of a physical printer, or enter “PDF” to save the report to a PDF file.
    IMPORTANT: When printing to PDF, you must have a ‘Transaction Processing’ folder specified in Company PDF/Export Directory (30-04) or By Term PDF/Export Directory (30-05) in order for the PDF to save successfully to your computer.

  1. Click ‘Export’ to open the report directly in Excel (and also save it to your computer).
    IMPORTANT: You must have a ‘Transaction Processing’ folder specified in Company PDF/Export Directory (30-04) or By Term PDF/Export Directory (30- 05) in order for the report to open correctly in Excel and successfully save to your computer.
