Introduction: Order Maintenance Reasons (02-08-90-04)

Overview

Reason Codes are used to increase manager control and gather important information when one of the following actions is performed:

  • A change is made to an order in Order Maintenance (02-08-02)
  • The price of an item is lowered in POS Entry (02-02) or Order Maintenance
  • An item is returned in POS Entry
  • A Cancel Order (CO) transaction is created POS Entry
  • Changes are made to a Work Order (not available at this time)

When one of the above situations occur, a reason box appears asking you to select or enter a reason code for the change/return/cancellation. The options that appear in the reason box, along with any additional information that is required before the action can be performed (i.e. Employee Number, Manager/Markdown Code) are set up in this selection.

NOTE: Reason Codes are an optional feature. However, changes made to an order in Order Maintenance always require you to enter a reason for the change. Using a two character reason code makes the process easier and more efficient.

Setup Requirements

  • To activate Reason Codes for Price Changes, set the ‘If Sell Price change, ask Reason’ preference to Y in Trans Entry Pre-Prompt (02-18-01). If this preference is set to N, the reason box will not appear when an item’s price is lowered in POS Entry or Order Maintenance.
  • To activate Reason Codes for Returns and Cancel Orders (CO), set the ‘For CO and Return, ask Reason’ preference to Y in Trans Entry Pre-Prompt (02-18-01). If this preference is set to N, the reason box will not appear when an item is returned or a Cancel Order transaction is created in POS Entry.
