How To: Entering and Verifying Cash Drawer Amounts (02-09)

This tutorial describes how to perform an end of day cashout.

Step-by-Step

  1. In the ‘Date’ field, enter the date for the cashout or select it from the calendar.
    • The ‘Store’ field is automatically populated with the branch assigned to the terminal. This is set up in System File Management (30-01-01) and cannot be changed.

  1. Enter a Printer ID to print the Cash Drawer report. A confirmation message appears.

  1. In the ‘Cash Drawer’ field, enter the amount of cash in the drawer at the beginning of the day.

  1. In the ‘Prepared By’ field, enter your employee number.

  1. Enter the Bank Deposit, Credit Card, Finance and Miscellaneous amounts from the cash drawer in their appropriate fields. The totals for each payment type appear on the right of the screen.

  1. Once all amounts are entered, click the Verify Totals button. The system compares the amounts entered with the amounts on the Cash Drawer Report.

  1. The actions you take at this point vary depending on whether the entered cash drawer amounts match the totals on the Cash Drawer Report:

If the amounts match, the message, ‘All totals match’ appears. Click Accept and ‘Audit Completed’ appears in the window. Clicking Ok updates the transaction day status to ‘A.’ This is followed by the Print window where you can choose whether to print a hard copy of the End of Day Cashout screen. The selection is then exited and the transaction day status is updated to ‘G.’

If the amounts do not match, a message box appears explaining that ‘The items listed do not match the cash drawer totals.’ You have the option to accept the discrepancies, maintain the cashout, or exit the selection.

If you click Accept, the ‘Audit Completed’ message appears. Clicking Ok updates the transaction day status to ‘A.’ This is followed by a message explaining that the ‘Store/Day is out of balance.’ After clicking Ok, you have the option to print a hard copy of the End of Day Cashout screen. Finally, the selection exits and the status of the transaction day for the branch changes to ‘O’ (Out of balance).

If you click Maintain, the cashout screen remains open to allow you to make changes to the drawer amounts. Details about the discrepancies appear in the Messages box.

  1. Once all drawer totals match the Cash Drawer Report amounts, the End of Day Cashout process is complete. You can now update the sales day for the branch.
