How To: Running the Items Sold Download Report (05-41-05)

Overview

This selection creates a report of all inventory items sold during a specified date range. This information does not appear on the screen but instead is exported to a pipe delimited file that can be opened with a spreadsheet program (e.g. Excel).

The following information is included on the report by default:

  • Store
  • Invoice Number
  • Entry Date
  • Transaction Type
  • FOB
  • P.O.
  • Item Number
  • Product Type
  • Item Description
  • Unit Price
  • Quantity
  • Extended Price
  • Taxable Amount
  • Non-Taxable Amount
  • Tax
  • Total Invoice Amount
  • Customer Tax ID
  • Source

Additional information can be included when running the report.

Step-by-Step

  1. From the ‘Region’ drop-down menu, select a region for the report. Select ‘All’ to include all regions.
    NOTE: If you set up branch groups in the Branch Grouping selection (05-90-02), they also appear in this list and can be used for the report.

  1. From the ‘Store’ drop-down list, select a store for the report. Select ‘All’ to include all stores.

  1. In the ‘From’ and ‘To’ fields, enter a date range for the report or select it from the calendar.

  1. Specify whether the report should include Written or Delivered Sales.

  1. If you want to include ‘TW’ transactions on the report, check the ‘Include TW’ box. If this box is unchecked, only ‘DZ’ and ‘SZ’ transactions are included on the report.

  1. The next two fields, ‘Include BT’ and ‘Include ST’ work in conjunction:
    1. Check the ‘Include BT’ box to include the Bill To columns on the report. The Bill To customer information will display in several columns, each beginning with ‘BT’ (e.g. ‘BT Cust,’ ‘BT Cust Name,’ ‘BT Street,’ etc.)
      NOTE: If the Ship To customer is different from the Bill To customer, you can replace the information in the Bill To columns with the Ship To customer information. To do this, check the ‘Include ST if different from BT’ box on this screen.
    2. Check the ‘Include ST’ box to include the Ship To columns on the report. When the Ship To customer is different from the Bill To customer, the Ship To information will display in several columns, each beginning with ‘ST’ (e.g. ‘ST Cust,’ ‘ST Cust Name,’ ‘ST Street,’ etc.). If the Ship To information is the same as Bill To information, the Ship To columns will be empty.
    3. Check both the ‘Include BT’ and ‘Include ST’ boxes to include the Bill To and Ship To columns on the report. The Bill To information will display in several columns, each beginning with ‘BT.’ If the Ship To customer is different from the Bill To customer, the Ship To information will display in several columns, each beginning with ‘ST.’

  1. Check the ‘Include Salesperson 1 and 2 w/Comm %’ box to include the employee number of Salesperson 1 and Salesperson 2 (if applicable) on the report, along with their percentage of the commission.

  1. Check the ‘Include Brand’ box to include the brand for each item on the report.

  1. By default, the city, state, and zip code of the customer appear in one field on the report (if the ‘Include BT’ and/or ‘Include ST’ box is checked). To split this information into separate columns, check the ‘Split City,ST,Zip’ box.

  1. If you want to include the Bill To customer’s email address on the report, check the ‘Include BT email’ box.
    IMPORTANT: To use this option, the ‘Include BT’ box must be checked.

  1. Check the ‘Include ST email’ box to include the Ship To customer’s email address on the report.
    IMPORTANT: To use this option, the ‘Include ST’ box must be checked.
    IMPORTANT: The Ship To email address is only included if the Ship To customer is different from the Bill To customer.

  1. Check the ‘Include Vendor Price’ to include the Vendor Price for each item on the report.

  1. Check the ‘Include ST if different from BT’ box and if the Ship To customer is different from the Bill To customer, the information in the Bill To columns is replaced with the Ship To customer information.
    IMPORTANT: To use this option, the ‘Include BT’ box must be checked.

  1. Click ‘Export.’

  1. In the ‘Select a File Name’ window, enter the folder/directory on your computer where the exported data will be saved.
    IMPORTANT: Since the exported file is pipe delimited, save it with a ‘.txt’ extension.

  1. Click ‘OK.’
