How To: Running Preparation for Reports (02-20)

Overview

This selection is used for commission reporting and creates a temporary preparation file containing all transactions within a payroll period for a specified region. Since Sales Transaction data is entered and stored on a regional basis, this selection must be run for each region that requires commission reporting.

Any changes made to the transaction file after Preparation for Reports has begun are not reflected in the commission reports/calculations. To include the latest changes, simply re-run this selection for the same region and date range.

NOTE: Make sure to verify that all commission reporting has been completed before purging the spiff file and rebuilding the preparation file for the next payroll period. This is especially critical when you have chosen to pay commissions after A/R Invoices are paid.

Step-by-Step

  1. From the ‘Region’ drop-down menu, select the region for which commissions are being calculated.

  1. The payroll period date range for which the preparation file was last created (for the entered region) appears in the ‘From’ and ‘To’ fields:
    1. Click the ‘Enter New Dates’ button to enter a new payroll period date range for the preparation file.
    2. Click the ‘Respecify with Same Dates’ button to create the preparation file using the displayed payroll period dates. Any changes made to the transaction file since the last time this selection was run will be included in the new preparation file.
    3. Click the ‘Close’ button to exit the selection.

  1. In the ‘From and To’ fields, enter the date range for the new payroll period.

  1. Click the ‘Accept’ button.

  1. At the ‘Purge’ prompt:
    1. Click ‘Yes’ to delete the Spiff file that was created for the old date range.
    2. Click ‘No’ to keep the Spiff file.
