How To: Running Delete VD and/or DX Transactions (02-91-01)

Overview

This selection is used primarily to delete ‘VD’ and/or ‘DX’ transaction types from the Transaction Header File and Transaction Detail File. However, ‘TW’ Transactions can also be deleted using this selection, as well as all transactions that are not in departments specified through this selection.

NOTE: Transactions cannot be deleted for the current month.

Step-by-Step

  1. In the ‘Enter starting date’ field, enter the date, in MMDDYY format, on which you want to start deleting transactions.

  1. In the ‘Enter ending date’ field, the last day of the month for the entered starting date appears. Accept or modify the date on which you want to stop deleting transactions.

  1. At the ‘To delete: 1-DX, 2-VD, 3-Both DX & VD, 4-TW, 5- All types if dept is not.’ prompt:
    1. Enter “1” to delete all DX transactions for the entered date range. Skip to Step 5 of this tutorial.
    2. Enter “2” to delete all VD transactions for the entered date range. Skip to Step 5 of this tutorial.
    3. Enter “3” to delete all DX and VD transactions for the entered date range. Skip to Step 5 of this tutorial.
    4. Enter “4” to delete all TW transactions for the entered date range. Skip to Step 5 of this tutorial.
    5. Enter “5” to delete all transaction types except the ones with the department(s) specified in the next field.

  1. If you chose Option ‘5’ at the last prompt, a field appears for entry of departments that should be excluded from the delete. Enter the two-character department codes, separated by commas, that should be excluded from the transaction delete.

  1. In the ‘Select Printer (Tab for No Print)’ field, enter a Printer ID to print a report of the deleted transactions. Press Tab if you do not want to print a report of deleted transactions.

  1. At the ‘Above Correct’ prompt:
    1. Enter “Y” if the above information is correct.
    2. Enter “N” to change the above information.

  1. The following message appears, which includes the number of transactions that are being deleted.

    DELETE OF xxxxxxxxxxxxxx RECORDS IN PROGRESS
    PLEASE WAIT
    NUMBER OF ‘DX’ DELETED
    NUMBER OF ‘VD’ DELETED
    NUMBER OF ‘TW’ DELETED
