How To: Using Zipcode to Zone Link (21-90-41)

Overview

This selection is used to assign zip codes to zones that have been set up in Zone Master Maintenance (21-90-40).

A zone is a geographical area that is defined by zip codes. Because of this, a zip code can only be assigned to one zone.

Special Notes

  • Before assigning a zip code to a zone in this selection, the zip code must be linked to a city, state, and country through Zip Code Link (20-07).
  • The ‘Delivery routes’ and/or ‘In-Home Service routes use’ preference (21-90-01, General tab) must be set to ‘Zone’ to use this selection.
  • The Zip Code Import selection (24-15, licensed option) allows you to bulk upload zip codes from a spreadsheet.

Adding a Zip Code

  1. Enter “A” at the main prompt.

  1. In the ‘Zip Code’ field, enter a valid five character zip code and press Enter or Tab. You can also enter a 3 or 4 character zip code prefix that will include all zip codes starting with those 3 or 4 numbers. For example, you could enter “3361#,” which would include zip codes 33610-33619, etc. Or you could enter “336##,” which would include zipcodes, 33600-33699.

    Since there could be overlap when using prefixes, the system first looks for the full zipcode, followed by the four character prefix and then finally the three character prefix. For example, if you had zip code ‘33610’ assigned to the South Zone, but zip codes starting with ‘3361#’ assigned to the North Zone, ‘33610’ will be considered in the South Zone because the system found the full zip code first.

  1. The corresponding city and state from Zip Code Link appear and the cursor moves to the ‘Delivery Zone’ field. In this field, enter the zone that this zip code will be assigned to for Order Processing orders.

  1. In the ‘Service Zone field, enter the zone that this zip code will be assigned to for Service Work Orders.
    IMPORTANT: You can leave the Delivery Zone or Service Zone fields blank, but not both.

  1. ‘Added’ appears on the right of the screen. Repeat steps 2-4 until all zones have been added.

Changing the Zone Information

  1. Highlight the zip code that you want to change.

  1. Enter “C” at the main prompt.

  1. Make any necessary changes to the Delivery Zone and/or Service Zone.

Deleting a Zip Code

  1. Highlight the zip code that you want to delete.

  1. Enter “D” at the main prompt.

  1. Enter “Y” at the ‘DELETE xxxxxxxxx?’ prompt.

  1. A confirmation message appears. Press Tab.
