How To: Viewing Stock Levels for an Inventory Item (03-07)
Overview
This selection is used view real-time stock levels for inventory items.

Step-by-Step

In the ‘Item#’ field, enter an item number, MFG SKU or Bar Code for inquiry and press Enter.
If you do not know the item number, click the Search button to the right of the field to look it up.
Use the left and right arrows to move sequentially through the items on your system.
The following item information from Inventory Master File Inq/Maint (03-01) appears at the top of the screen:
Desc 1
This is the first description of the item. It appears to the left of the ‘^’ symbol in the ‘Desc’ field of Inventory Master File Inq/Maint.
Desc 2
This is the second description of the item. It appears to the right of the ‘^’ symbol in the ‘Desc’ field of Inventory Master File Inq/Maint.
Brand
This is the item’s brand.
Dept
This is the item’s department.
PType
This is the item’s product type.
BarCode#
This is the item’s Bar Code Number taken from Field 35 of Inventory Master File Inq/Maint.
The title of this field is set up in Inventory Titles (03-90-01).
MFG SKU#
This is the item’s Manufacturer’s SKU Number.
IMPORTANT: If the ‘Print Field 27 as Mfg Sku’ box is checked in P/O Preferences (04-90), the title and field contents from Field 27 in Inventory Master File Inq/Maint (03-01) are used here. If the box is not checked, the title and field contents from Field 26 of Inventory Master are used.
Warranty
This is the Warranty Code taken from Field 31 of Inventory Master File Inq/Maint.
The title of this field is set up in Inventory Titles (03-90-01).
Selling Price
This is the amount from Field 18 of the Inventory Master File Inq/Maint.
The title of this field is set up in Inventory Titles (03-90-01).
Priority
If there is an entry in the ‘Priority Flg’ field of Inventory Master (03-01, Field 8), it appears in this field.
Notice the ‘All Stores’ checkbox. On a POS Terminal, this box is unchecked by default and only branches in the region assigned to the terminal (in System File Management [30-01]) appear. Check this box and branches for all regions appear. For Non-POS terminals, this box is checked by default (all regions are shown).
IMPORTANT: All Warehouses display regardless of whether the ‘All Stores’ box is checked or unchecked.
In the middle of the screen, the quantity information for the item appears:
Reg
The store’s region appears in this field.
Store Name
This is the store’s Branch ID and Branch Name.
Qty Avail
This is the quantity available for the item, which is calculated using the following formula:
This is the committed amount, which is the quantity on Delayed Delivery or Special Order transactions that have a delivery date other than a “?” and that are not linked to a Purchase Order (the order is committed to deliver from current store stock).
Double-click the quantity in this field and the Committed Orders window opens, which shows the orders for this branch on which the item is committed. On this window, double-click the order number to open the transaction in Order Maintenance.
InBound
This is the quantity being transferred to this branch from another branch. The quantity appears in this field when the transfer merchandise is shipped (Transfers Shipping Confirmation is run) until the transfer merchandise is received (Transfers Receiving Confirmation is run).
Double-click the quantity in this field and the Inventory Transfer window opens, which shows the transfers for this branch on which the item is contained. On this window, double-click a transfer to view more details.
Pending Xfer
This is the quantity being shipped to this branch on a transfer that has been created, but not yet shipped (Transfers Shipping Confirmation has not been run). When Shipping Confirmation is completed, the quantity moves to the ‘Inbound’ field.
Double-click the quantity in this field and the Inventory Transfer window opens, which shows the transfers for this branch on which the item is contained. On this window, double-click a transfer to view more details.
Floor Stock
The quantity that you currently have on the floor (also known as Floor Model) appears in this field.
Damaged
This is the quantity of items designated as damaged.
Put Away
For Inventory Locator only: This field shows the number of items currently at the ‘RD’ (Receiving Dock) location that need to be put away/located.
Floor Level
This field shows the quantity that you want to have on the floor at all times.
Back Stock Level
This is the quantity that you want to have onhand at the store at all times (optimum stock level).
Gross OnHand
The quantity that is physically onhand at the store appears here.
OutBound
This is the quantity that is being transferred from this branch to another branch. The quantity appears in this field when the transfer is created until the transfer merchandise is shipped (Transfers Shipping Confirmation is run.)
Avail OnOrder
This field shows the quantity contained on open purchase orders minus the quantity committed (to a customer on a DD or SO transaction) on open purchase orders.
Represented as a formula we have:
(Quantity on Purchase Order – Quantity Committed on Purchase Order)
Double-click the quantity in this field and the Purchase Order window opens, which shows the purchase orders for this branch on which this item is contained.
Commit OnOrder
This is the quantity committed to a customer (DD or SO) on open Purchase Orders.
P.O. ETA
The anticipated receiving date/estimated time of arrival for the purchase order on which the item is contained appears here.

Price and Cost Codes
To allow salespeople, but not customers, to easily view prices and costs for the item, price/cost codes display above the buttons at the bottom of the screen.Only prices/costs for fields that are set up in the ‘Specification for Item Number Search’ section of Inventory Preferences (03-90-02) appear. The first character of the field code prints before the price/cost and the second character of the field code along with the first five characters of the description displays after the price/cost.
For example, with the code ‘V99999999PZZZZZ,’ V represents the first character of the Vendor Price field code (VP), 99999999 is the vendor price (without decimals), P is the second character of the field code, and ZZZZZ is the first 5 characters of the description.
With the code ‘S27599PHDTVS,’ S represents the first character of the Selling Price field code (SP), 27599 is the selling price, P is the second character of the field code and HDTVS is the first five characters of the description.
Field Codes for price/cost fields are as follows (from Inv. Master File Inq/Maint (03-01)):
VP – Vendor Price (Field 13)
UC – Unit Cost (Field 14)
PC – Last P/O Cost (Field 15)
WP – Wholesale Price (Field 16)
MP – Minimum Sale Price (Field 17)
SP – Selling Price (Field 18)
LP – List Price (Field 19)
AA – Price #5 (Field 20)
BB – Price #6 (Field 21)
CC – Price #7 (Field 22)
DD – Price #8 (Field 23)
Buttons
Committed Qty Button
Click this button and the Committed Orders window opens, which shows the orders for the entire company on which the item is committed. On this window, double-click the order number to open the transaction in Order Maintenance.
Transfer Qty Button
Click this button and the Inventory Transfer window opens, which shows the transfers for the entire company on which the item is contained. On this window, double-click a transfer to view more details.
OnOrder Qty Button
Click this button and the Purchase Order window opens, which shows the purchase orders for the entire company on which this item is contained.
Substitute Item Button
If the item being inquired on is out of stock, click this button to view substitute items. A substitute item has the same product type and its price is within 25% (higher or lower) of the inquiry item’s price.
Export
Click this button to open the report directly in Excel (and also save it to your computer).
Print
Click this button to print the inquiry or save it to a PDF file.
At the ‘Select Printer’ prompt, enter the ID of a physical printer or enter “PDF” to save it to a PDF file. If saving to a PDF, accept or modify the pre-prompted file name.
