How To: Completing Actual Count Entry with an RF Scanner (RF-04-04)
Overview
Actual Count Entry is used to count your inventory items with an RF Scanner as part of the Physical Inventory process. This tutorial describes how to complete Actual Count Entry with an RF Scanner.
Step-by-Step
- On your RF Scanner, access the Physical Inventory selection (04-04).
- Specify a Section. The Section Number is used to identify a specific portion (set of items) of the Count Book that is being counted.
If you are entering counts at a Non-Locator branch, accept or modify the section number. “A” automatically prompts in the field but it can be changed to any 1-3 character alphanumeric entry.
If you are entering counts at a Locator branch, “A” appears in this field and cannot be changed.
- In the ‘Team#’ field, enter “1” or “2”.
Count entries for Team 1 write to the Physical Inventory Posting File and affect the final recorded quantities for the Physical Inventory.
Count entries for Team 2 are used for comparison purposes only and will appear on the Team Comparison Audit. They will not affect the final recorded quantities for the Physical Inventory.
- When using the RF Scanner, each type of merchandise (Boxed, Damage, Floor) must be scanned separately.
At the ‘Type of Inventory’ prompt:
- Enter “1” if the item is a boxed (normal) item.
- Enter “2” if the item is flagged as damaged.
- Enter “3” if the item is flagged as a floor model item.
- Select a Quantity Entry Mode:
- Enter “1” if you want to scan each item to record the quantity (e.g. If you have three of the same item, you will scan each of the three items separately or scan the same item three times).
- Enter “2” if you want to scan the item once and then enter the quantity that you want to record.
- Scan or Enter the location number (Locator Branch only).
If you are counting at a Locator branch, scan or enter the location of the item being counted in the ‘Location#’ field. The item numbers and count quantities of the last three counted items for the entered Location appear at the bottom of the screen.
If you are counting at a Non-Locator branch, skip to the next step.
- In the Item# field, scan the barcode or enter the item number. You can also scan the UPC Number if it has been set up in Field 35 of Inventory Master Inq/Maint (03-01).
- The Description, MFG SKU # and Quantity Information for the item appears.
In the ‘T Qty.’ field, the first number represents the total quantity of the item counted to the point at all locations, followed by the quantity counted to this point at this location.
- In the ‘L. Qty’ field, enter the quantity of the item that you counted for this location.
At the bottom of the screen, you will see the item numbers and quantities of the last three items that were counted.
- Repeat steps 6-9 until all items are counted and then proceed to the next step in the Physical Inventory process.
NOTE: For Locator branches, you will need to enter a new Location number at the appropriate time.
