How To: Setting Up a Company PDF Export Directory (30-04)
Overview
Tyler’s GUI printing method allows you to print invoices, statements, and other reports directly to a PDF file instead of to a physical printer. By default, all of these PDFs are saved to the root directory of your Convergence installation on your computer. However, if your company prints a large volume of invoices to PDF, you might want to store these files in separate folders for organizational purposes.
This selection, along with the By Term PDF/Export Directory selection (30-05), allows you to set up export directories/folders for the PDF files. You can use the same folder for all of the files or use separate directories for prints from Purchase Orders, Sales Transactions, Sales Analysis, and Accounts Receivable, for example.
Special Notes
- The folders set up in this selection apply to PDFs printed from all terminals in your company. However, if a directory is specified for a terminal in the By Term PDF/Export Directory selection (30-05), those folder settings will override the ones in this selection.
- If a path for the General Ledger directory has not been set up, all files printed to PDF from the following selections will be sent to the Miscellaneous directory by default: Posting Audit (03-30-06), Chart of Accounts Listing (15-20), Future File Listing (15-27), and the Monthly Transaction Journal (15-22). If the Miscellaneous directory has also been left blank, these selections will be sent to the first PDF path you have set up as an export directory.
Step-by-Step
- In the Description column, double-click an application name to set up an export directory.
- The Select a Directory window appears. Click the folder icon on the right to browse for the directory/folder on your computer where you want the PDF files to be stored.
- Locate the directory, select it and click ‘Choose.’
- When creating the directory on your computer, if the directory name has more than one word, you should use the underscore symbol (“_”) to connect the words. Because this involves the UNIX side of the Tyler system, using spaces in the file names can cause problems.
- Only PDFs for the selected application will export to this folder. PDFs for other applications export to their specified folder or for some selections, the folder that was manually entered when running the selection. If no directory is specified for the application, Tyler attempts to download the PDF to the root folder of your C: drive. However, if the security settings of your operating system do not allow it, the file could be saved to another folder. If you have trouble finding the PDF, we recommend using your operating system’s Search feature.
- PDFs from Posting Audit (03-30-06), Chart of Accounts Listing (15-20), Future File Listing (15-27), and the Monthly Transaction Journal (15-22) are saved to the Miscellaneous folder when no path is specified for General Ledger application.
- The path to the folder appears on the Select a Directory window. Click ‘Ok.’
- The window closes and the path to the directory now appears in the ‘Directory’ column next to the application name.
NOTE: To Delete a path, double click the Description to open the ‘Select a Directory’ window. Delete the path and click ‘Ok’ to save the change.
- Repeat steps 1-4 until all directories are set up.
