How To: Running the Monthly Transaction Journal (15-22)

Overview

This selection is used to view, print, or export transactions, for the current month, that affect the General Ledger.

NOTE: You can view the listing without entering any search criteria (just click the ‘Done’ button).

  1. In the ‘From Account Number’ and ‘To Account Number’ fields, enter the G/L number range for the journal. Leave the ‘From Account Number’ field blank to start the listing with the first G/L number on file. Leave the ‘To Account Number’ field blank to end the listing with the last G/L number on file.

  1. In the ‘For Period’ field:
    1. Select ‘Current’ to run the listing for the current month.
    2. Select ‘Enter’ to specify a Date Range for the transaction listing. In the ‘From’ and ‘To’ fields, enter the date range for the listing in MMDDYY format.
      NOTE: The entered ‘From’ date cannot be more than 24 months before the current G/L month.
      NOTE: The entered ‘To’ date cannot be after the current G/L month.

  1. Check the ‘Print Account with Zero Activity?’ box to list G/L accounts that have zero activity in the current month or over the specified date range (depending on your selection in the previous step).

  1. Click the ‘Done’ button. Results matching the entered criteria appear.

  1. To view detailed activity for a single account, click the plus sign in the Account Number column. Or click the ‘Expand’ button to view detailed activity for all accounts. To hide all of the expanded results, click ‘Collapse.’

  1. Click the ‘Print’ button (optional) to print a paper copy of the listing. At the prompt, enter the ID of a physical printer, or enter “PDF” to save the report to a PDF file. If printing to a PDF, accept the pre-prompted save location on your computer or enter a new one.
    • Enter “E” to print only a list of transactions that are out of the defined GM range.

  1. Click the ‘Export’ button (optional) to open the information with a spreadsheet program (e.g. Excel).
