How To: Setting Up End of Day Cashout Preferences (02-18-14)

Overview

This tutorial describes how to set up End of Day Cashout Preferences.

  1. In the ‘Title’ field of the E-Checks (Electronic Checks) row, enter a name for the ‘E-Checks’ field.
    IMPORTANT: As with all title fields on this screen, the text that is entered in this field will appear as a field title in the End of Day Cashout selection.

  1. In the ‘G/L Bucket’ field of the E-Checks row, select the G/L bucket to use for E-Checks. All E-Checks dollars are sent to the G/L account assigned to the selected G/L bucket.
    IMPORTANT: G/L buckets are set up in the G/L Account Title selection (02-18-07) and are assigned to a G/L account through the G/L Account Number selection (02-18-06).
    IMPORTANT: If your company does not use electronic checks or does not use a separate G/L account for electronic checks, skip this step.

  1. In the ‘Title’ column of the ‘Credit Card Field 1’ row, enter a title for Credit Card 1.

  1. For ‘Credit Card Field 1’ only, you will notice that the G/L Bucket column is automatically populated with ‘Credit Card’ and cannot be changed. This bucket is set up automatically by the system (as opposed to being set up through the G/L Account Title selection) and is assigned to a G/L account through the G/L Account Number selection. You can send all credit card dollars to this G/L Account (by leaving all other fields in the table blank), or you can specify additional credit card types and their G/L buckets in rows 2-5 (see Step 5).

  1. Enter any additional credit card types, and specify their corresponding G/L buckets in rows 2-5.
    NOTE: You must select a G/L bucket for each credit card type, but understand that you can use the same G/L bucket for multiple cards. In this example, both the Discover and Diner’s Club card use the G/L bucket named ‘Other Credit Cards.’

    If your company only uses one G/L account for credit cards, skip to Step 6.

  1. In the ‘Finance Comp’ fields, specify the finance companies that you want to include on the End of Day Cashout screen. Enter the finance company name in the ‘Title’ column and the company’s A/R Account number in the ‘Company’ column. All finance company dollars go to the Finance Contracts bucket, which is set up by the system and assigned to a G/L account in the G/L Account Number selection.
    NOTE: If you have multiple A/R accounts set up for the same finance company, it is not necessary to enter every A/R account number for that finance company. All you need to enter is the portion of the account number that is shared between the accounts. For example, you might have a Wells Fargo account for Region 01 (named ‘FWFARGO01’), another for Region 02 (‘FWFARGO02’) and yet another for Region 03 (‘FWFARGO03’). In this case, all you would need to enter in the ‘Company’ field for Wells Fargo is “FWFARGO.”

  1. In the lower left of the screen, you will see a table with two columns: CC Type and CC Field. Information must be entered in this box to allow the End of Day Cashout selection to verify amounts with the Cash Drawer Report.

    The CC Type column is populated with the credit card types set up in the Credit Card Maintenance selection (02-18-10). In the CC Field column, enter the credit card field number (from above) for each of the credit card types.

    In this example, MasterCard is Field 2, so “2” is entered in the CC column next to MC. Visa (VS) is Field 1, Discover (DS) is Field 4, and so on.

  1. When you are finished entering information, click Ok.
