General Questions

  1. What cards can be processed through the Tyler CBS interface?
  1. Visa, Mastercard, AMEX, and Discover cards.

  1. What about GE, Wells Fargo, and Paypal?
  1. No, none of the above. We do not process any private financers.

  1. What about gift cards?
  1. Gift card processing is not available at this time.

  1. I see a ‘GE Money End of Day Processing’ (24-13) selection. Please explain what this is.
  1. This is a custom program not related to the CBS credit card authorization.

  1. Where can I swipe a card in Tyler?
  1. Cards can only be swiped in the following selections:
    • In Point of Sale (02-02) for delayed deliveries transactions (DD), take with transactions (TW), take with returns (-TW), payment on an A/R account (RA), returns of payment on an A/R account (-RA), canceled orders (CO), and payments applied to an order (ML).
    • In Service (07), for payments taken on the ‘Other’ tab.

  1. What about for A/R installment, A/R revolving, or rental payments?
  1. The CBS program does not support taking payments for Revolving Cash Receipt (PR) transactions, Rental Cash Receipt (RP) transactions, or Installment Cash Receipt (PI) transactions; or in A/R Installment Cash Receipt Entry (13-01), A/R Revolving Cash Receipt Entry (14-01), or Rental Cash Receipt Entry (22-01).

  1. Why can’t I swipe when I quick ship an order (DZ) in POS or in Quick Ship (02-08-03)?
  1. Quick Ship (DZ) is a reversible transaction subject to theft. To protect your business, only use swipe when applying payments to an order (ML) and then Quick Ship (DZ) when the order has been paid.

  1. Does Tyler send a correcting credit to CBS when take with (TW) transactions are deleted with a ‘Delete TW’ (DL)?”
  1. No! In System File Management (30-01), ‘Allow Delete’ should be set to “N” on all terminals with CBS active. If any DL’s get through, a manual credit will need to be issued in the CBS gateway. The proper way to void a ticket after is to do a negative take with (TW) or cancel order (CO) afterwards.

  1. My Warehouse / Other store do not have credit card authorization activated, and they can’t take a credit card in Quick Ship (DZ) either. What must be done?
  1. The order must be quick shipped (DZ) on a non-point of sale terminal. Change the ‘Audit Branch’ to the non-CBS store and ‘credit card’ will appear in the payment options.

  1. When debit cards are used, how will customers enter their PIN?
  1. Customers will not enter a PIN. This is a ‘convert’ system where the customer will sign a receipt like a credit card. This method will not change anytime soon.

  1. I have some finance companies and Paypal set up as credit cards. What is the alternative if I were to use CBS?
  1. We recommend entering these sales as a ‘Check’, with “GE”, “WF” (Wells Fargo), “PP” (Paypal), etc. entered in the ‘Check #’ field. Alternatively, these companies can be set up in Tyler as finance companies in A/R Open Master File Maint (12-20), but this adds the extra step of processing cash receipts.

  1. What is the correct acronym for Visa? VS or VI?
  1. VI. When using it as a credit card type, you must set up Visa as ‘VI’ in both ‘Credit Card Maintenance’ (02-18-10) and ‘Credit Card # Range by Card Type’ (02-55-10-02).

  1. How do I issue a swiper refund without entering a ticket in Tyler?
  1. Do a manual refund in the CBS gateway. They will instruct you how.

  1. Can I swipe a correction (or test) of only a few pennies?
  1. CBS’s minimum allowable transaction is 10 cents.

  1. Can I use swipers that capture a customer signature?
  1. No, not with the CBS base package. However, you may request a custom program through our website.

  1. How many swipers do I need?
  1. One for each Point of Sale (POS) work station. For example, if you have three (3) stores with three (3) POS terminals each, you will need nine (9) swipers.

  1. My internet went down and I used our backup phone swiper. How can I get a ticket in Tyler?
  1. You can enter a ticket manually using one of the following ways:
    1. Enter the ticket as a check, with “VI”, “MC”, “AX”, or “DS” in the Check Number field.
    2. Turn off “C” for the ‘C-CR Card, A-CC&Check’ field in Branch Maintenance (30-02-02) temporarily at the end of day, and then enter it with $$ in credit card.

  1. Do you support any processors other than Century Business Solutions (CBS)?
  1. CBS is the only low cost processor we support. Other processors “may” be available on a customized basis, but CBS is the only cost effective processor for very large companies.

  1. My POS terminal went down, I need to put my convergence laptop out on the sales floor to swipe. What do I need to add in the software?
  1. Add the laptop’s partition screens (Txx) to ‘Tyler Term# to Station#’ (02-55-10-04) and ‘System File Management’ (30-01), then plug in the swiper.

  1. Explain ‘PRE AUTH REQ’D’ and ‘VOICE AUTH REQ’D’. These are a nuisance.
  1. Neither CBS nor Tyler controls this, the card issuers do. They are based on an individual’s credit history and card usage patterns.

  1. When do I use the manual option?
  1. When the card’s magnetic strip is defective or a card number is taken over the phone.

  1. When using the manual option, is the CVV number on the back of the card required?
  1. Yes. Keep in mind that for AMEX the CVV number is a four (4) digit number on the front, right side of the card.

  1. When do I use the forced sale option?
  1. The forced sale option is not available at this time.

  1. My End of Day Cashout (02-09) isn’t breaking out credit cards. How do I fix this?
  1. If this is the case, your ‘End of Day Cashout Preferences’ (02-18-14) is not setup correctly and you need to make the correction there.

  1. Ever since CBS was turned on, my End of Day Cashout (02-09) says credit card settlement incomplete. What is wrong?
  1. Nothing. Just ignore this message and continue. It is associated with a feature not relevant to the current CBS processing.

  1. How do I perform credit card settlement at the end of each day?
  1. You do not. CBS is auto-settling. Simply compare the totals on their website to the totals on your Cash Drawer Report (02-17).

  1. I’ll be running a branch merge / ID change. Does the merge program do all the needed CBS changes?
  1. No. After running branch merge you will need to go into ‘Setup Credit Card Auth.’ (02-55-10) and update the following selections with the new ‘Branch ID’ manually:
    • ProtoBase Terminal to Card Type (02-55-10-01)
    • Station# to ProtoBase Terminal (02-55-10-03)
    • Tyler Term# to Statiton# (02-55-10-04)
    • Merchant Number (02-55-10-10)

  1. Does Tyler’s CBS program verify the bill-to zip code on the ticket against the card holder’s zip code on record?
  1. No, however an enhancement for this has been requested.

  1. The signature message that is set up in ‘Credit Card Authorization Preferences’ (02-55-90) prints too small on my form ‘M’ invoice. How do I make it bigger?
  1. Unfortunately at this time you cannot but an enhancement for this has been entered.

  1. I have sales and service in the same building, but to different ‘stores’ in Tyler. Do I need two merchant ID’s?
  1. This would be up to you. If it is the same tax ID information for both ‘stores’, there is no legal reason to need two. However, using the same gateway means charges will funnel to the same back account and have the same merchant information on receipts. If you wish to discuss the benefits/drawbacks of this further, contact your sales rep at Century Business Solutions (CBS).

Technical, Developmental, & Hardware Questions

  1. Does the CBS interface require Static IP’s in routers?
  1. No.

  1. Does Tyler’s CBS interface use APIs (Application Program Interface) or Middleware?
  1. No, Tyler uses neither of these. Furthermore, Tyler does not own or operate an FTP site.

  1. What about card number security?
  1. We read and then transmit a card’s Track 2 data directly to CBS via a secured FTP. At no point does Tyler store credit card information anywhere in our database. CBS stores the card information and they are PCI compliant.

  1. Are there any plans to store encrypted card numbers on Tyler?
  1. No, we will never store card numbers due to liability issues.

  1. I have existing swipers. How can I tell if they will work with Tyler’s CBS interface?
  1. Contact Tyler support and we will walk you through a hardware compatibility test.

  1. What slip printers do I need if I want small GUI credit card slip receipts?
  1. You will need to acquire Epson T88 printers (version IV or V) and in Tyler, use Invoice form ‘M.’ No other printers or form types are supported.

  1. What make/model of swipers do you use at Tyler?
  1. Our testing is done on a MAGTEK 21040108. This is not a chip card reader and should not be construed as a product endorsement. Please direct all questions about swiper hardware to CBS.

  1. What is the status of EMV / chip card readers?
  1. For now, you can acquire non-integrated chip readers from CBS. Those that integrate to Tyler Point of Sale are forthcoming. No projected date as of yet.

  1. I’m a new CBS user and my swiper times out immediately after running the card. What’s wrong?
  1. Check with our IT department to make sure they have place the two UNIX files on your environment. This is done at the time we receive the addendum.

  1. All sales are being declined. What do I do?
  1. Contact CBS support.

  1. CBS says a customer’s swipes are going to the wrong gateway. What’s wrong?
  1. The merchant ID in the ‘Merchant Number’ (02-55-10-10) selection is incorrect.
