How To: Exporting GUI Reports for OpenOffice Calc
Overview
This tutorial describes how to export a GUI Report for use in OpenOffice Calc. The process for exporting a GUI report is the same from one report to the next.

Step-by-Step
- Enter the criteria for the report and click Refresh.
- Click the Export File button at the bottom of the screen.
- A new window opens. The location on your computer where the file will be saved, along with the filename, appears. Accept or change this information.
- Click OK.
- Navigate to the directory on your computer where the file was saved. Double-click on the file to open it with OpenOffice Calc.
NOTE: If .csv files are not currently set to open with Calc, right click on the file and select ‘Open With.’ Then select OpenOffice Calc from the list of software programs. If Calc does not appear in the initial list, click ‘Choose default program’ and select Calc from that list. Check the ‘Always use selected program to open this kind of file’ box if you always want Calc to open ‘.csv’ files.
- The OpenOffice Calc ‘Text Import’ window opens. Here you will need to specify the settings for the .csv file:
- Under the ‘Separated by’ section, check the ‘Tab’ or ‘Comma’ box (depending on the file type) and uncheck all other boxes.
NOTE: For pipe delimited files, check the ‘Other’ box and enter the pipe symbol (|) in the box to the right.
- In the ‘Fields’ section, select all of the column headings (by clicking the corner box on the left) and then change the Column type to ‘Text.’
NOTE: This step is critical because if you do not format the information as text, the leading zero will be lost in all fields that begin with a zero.- Click Ok and the file opens in Calc where it can be viewed and modified as necessary.
- For easier editing later, save the report as Calc file (.ods) before exiting.
- In the ‘Fields’ section, select all of the column headings (by clicking the corner box on the left) and then change the Column type to ‘Text.’
